UltraNet Services / Ultra Tech - Pager Policy

1.0 Policy

It is the policy of ULTRA TECH to identify the policies and procedures regarding the maintenance & administration of company pagers.

2.0 Scope

This policy applies to ULTRA TECH NETOPS and ULTRA TECH employees with company pagers.

3.0 Guidelines

This cost may be passed to the employee, depending on each case.

4.0 Procedures

4.1 Request

In order for a pager to be issued to an employee, a request, whether via e-mail or memo, must come from a Project Manager, Program Manager, Executives, and/or Human Resources Director. NETOPS receives the request and confirms to upper management if a pager is available to be issued.

4.2 Issuing & Delivery

NETOPS staff should follow these procedures when issuing a pager to an employee.

  • Testing. - If a spare pager is available and it is activated, proceed to test the pager by calling the number. You will find the pager number on the back on the clip. When prompted, enter any number, then press the pound (#) sign, and hang up. If the pager rings or vibrates, then the pager is working normally.
  • Issuing & Delivery - Proceed to the pager database, which is stored in the Netops directory on the network. (Netops\telecomm\pagers\atxpagers.db)
    1. Go to the Forms tab in the database, and then click on PG FORM.
    2. In the Name field, enter the person's name in which the pager will be assigned.
    3. Insert the employee's department under the Dept: field (i.e., NETOPS, ADMIN, OPS) Note (If person is working off-site, their location can be inserted in this field (i.e, DCWASA, FTBELVOIR, etc.)
    4. In the History field, write a brief statement stating the pager was issued to the person being assigned the pager and the current date. This is for future reference and keeps track of who has the pager during the life cycle of the equipment.
    5. Click on the save button on the top toolbar. Close the Pager Form.
    6. Go to the Reports tab in the database, and then select Pager Assignment Form.
    7. The assignment form will appear on your screen. Using the right arrow on the bottom of your screen, scroll until the person's name you are looking for appears on the screen.
    8. To print the page, from the File menu, click on Print.
    9. When the Print window appears, select the Pages from: in the Print Range area. Note the page number in the print preview, then type in the page number in the To & From sections.
    10. Click on the OK button.
    11. In the Reports tab, select Employee Pager List.
    12. Print one copy to give to new user.
    13. Provide pager, instruction booklet (If applicable) assignment form, and Ultra Tech pager list to the assigned person. NOTE: If Human Resources request the pager, give the items to Linda Jackson.
    14. After Pager Assignment Form is signed, make (1) copy for NETOPS & file; the original document will be filed in Human Resources. When the pager is returned to NETOPS, the assignment form can be removed from the NETOPS file and discarded.
    15. Create a help desk ticket in Track-It explaining the action.

4.3 Replacing a Pager

If a pager becomes inoperable or other problems occur, contact ATX Customer Service at 1-800-220-4900. If the pager needs to be replaced, you must fill out a Pager Replacement Request Form. In this form, you must provide ATX information regarding problems with the pager. This form should be sent to ATX, along with the pager to the following address:

ATX
Attn: Wireless Department
50 Monument Road
Bala Cynwyd, PA 19004-1795

4.4 Lost or stolen Pagers

The following steps need to occur if a pager is lost or stolen:

  1. Call ATX customer service number at 1-800-220-4900 to have the pager deactivated.
  2. Provide the name of the company, account #, phone #, and reason you are deactivating the pager. (The account number is available in the pager database.)
  3. Request for a replacement pager. If a spare pager is available in the NETOPS inventory, ordering a new pager will not be necessary.
